BillDrop is a purchase-bill entry system for Indian businesses and their accountants. Photograph a bill or forward it on WhatsApp or email; the supplier, GSTIN, items, GST and totals are read automatically, checked, and duplicates are flagged. You approve with one tap and the entry is ready for Tally, Zoho Books or Excel, with a list of what is due to whom. Built and set up by VV Automate in Kolkata.

Sixty bills, one accountant, Tally open on a slow laptop, and it is the 18th. Photograph the bill. The entry is read, checked and ready for Tally.

Bills arrive as WhatsApp photos, emails and paper in a drawer. BillDrop reads each one, checks the GST and the totals, flags the duplicate the driver also photographed, and hands your accountant a clean entry to approve, not a pile to type.

Illustrative A bill photographed on a phone, beside the entry read from it.

Left: a phone photo of a supplier bill from a packaging supplier with two GST rates. Right: the entry read from it: supplier name, GSTIN, date, each line with its HSN and rate, tax, total, with a flag that two characters of the GSTIN were unclear.

Is this you?

  • 18th evening: your accountant scrolls three WhatsApp groups and an email folder for the ₹38,000 bill you “definitely sent”.
  • The driver photographed the bill. So did you. It is now two vouchers, and the mismatch surfaces in November.
  • A handwritten bill from the packaging supplier, GSTIN half legible, entered at the wrong rate.
  • The CA’s junior types again what your accountant already typed, because neither trusts the other’s file.

How it works

  1. 1

    Photograph or forward the bill

A phone photo, a WhatsApp forward, an email attachment, or a scan. Handwritten kachha bills too, when the writing is clear. One WhatsApp number for all of it.

Illustrative A bill sent to BillDrop on WhatsApp.

A WhatsApp chat where the owner sends a photo of a bill to BillDrop and gets a reply: bill received, reading it.

  2. 2

    The details are read automatically

Supplier, GSTIN, date, bill number, each line with its HSN and rate, taxable value, CGST, SGST or IGST, total. Anything unclear is marked, not guessed.

Illustrative What was read, and what needs a look.

The entry read from the bill with every field, HSN and rate per line; the GSTIN is marked as partly unclear.

  3. 3

GST and totals are checked, duplicates flagged

Does the tax match the rate in your HSN master, which you or your CA maintain? Do the lines add up to the total? Is this GSTIN valid? Have we seen this GSTIN, bill number and year before? Each check shows its result. Blocked credits under section 17(5) are not judged here; that stays with your CA.

    Illustrative The checks.

A list of checks: tax matches the rates in the HSN master, lines add up, GSTIN valid and active, duplicate check flags that bill GP/1187 was already received from another phone.

  4. 4

    One tap to approve

Your accountant sees the bill and the entry side by side, fixes anything flagged, and approves. Or rejects it with a note.

    Illustrative The list to approve.

A list of bills awaiting approval with status: ready, needs a look, duplicate.

  5. 5

The entry is ready for TallyPrime, Zoho or Excel

A purchase voucher in the format your books expect, with the ledger names you use, posted through TallyPrime’s import or a connector we set up. Plus a list of what you owe: to whom, and when.

Illustrative What is due to suppliers, from the approved bills.

A table of amounts due by supplier with due dates and amounts.

Questions

We already use Tally, and our accountant enters everything.

Keep both. BillDrop sits before Tally: it reads and checks the bill so your accountant approves instead of types. The entry goes into TallyPrime in the format you use.

Half my suppliers write bills by hand. Will it read them?

Clear handwriting, usually. Where it is not sure, it marks the field and asks, rather than guessing. You see the photo beside every entry.

One wrong automatic entry and I get a notice.

Nothing goes into your books without a person approving it. Every check is shown, with who approved what, and the original photo stays attached to the entry.

My CA does this. Why pay twice?

Ask your CA whether checked entries, with the photo attached, would save the typing on the 18th. A CA firm can run BillDrop for its own clients; ask us.

Does my accountant still type it into Tally?

No. The approved entry goes into TallyPrime through its import, or a connector we set up, with your ledger names. Your accountant checks and approves instead of typing.

Does it need internet all day?

Only to send the photo and to approve. Reading and checking happen on our side; the entry is posted when the Tally laptop is on.

Where are my bills stored?

With you, in your own storage, with the original photo attached to each entry. Deleted on request.

What does it not check?

Whether a credit is blocked under section 17(5), whether a supplier has filed, and anything that needs judgement. Those stay with you and your CA. BillDrop reads, adds up, matches rates to your HSN master and catches duplicates.
