DueChase is a payment follow-up system for businesses that sell on credit. It reads your outstanding invoices from your accounting software or Excel, sends polite reminders on WhatsApp and email that get firmer on a schedule you set, includes a payment link, understands replies such as paid, will pay on a date, or dispute, and shows who owes what by age on one screen. Built and set up by VV Automate in Kolkata, for businesses in India and worldwide.

“Payment next week.” Fourth week running. Polite reminders that go out on time, and who owes what on one screen.

You do not want to lose a 12-year customer by chasing. You also cannot pay salaries with promises. DueChase sends the reminder you would have sent, on the day you would have forgotten, and tells you the moment a customer replies.

An outstanding screen: total outstanding ₹4.2 lakh across nine parties, with ageing buckets and a list of the largest overdue invoices and their reminder status.

Is this you?

  • The 7th of the month. Salaries due Friday. ₹4.2 lakh outstanding across nine parties, and you are deciding whom to call first.
  • You rehearse the reminder call to a 12-year customer. Then you do not make it.
  • “Accounts will release it on Tuesday.” Third Tuesday in a row.
  • Your son builds an ageing sheet in Excel on Sunday. It is out of date by Wednesday.

How it works

  1. 1

    Your outstanding invoices come in

From Tally, Zoho, Busy or an Excel sheet, once a day. Nothing to type.

    Illustrative Imported from your books.

A table of outstanding invoices with party, invoice number, amount, due date and days overdue, imported from Tally.

  2. 2

Reminders go out on your schedule, in your tone

A friendly note before the due date, a reminder after, a firmer one later. Each one carries the invoice, the amount and a payment link. You approve the wording once, or every message to the parties you mark.

Illustrative A reminder, with the invoice and a payment link.

A WhatsApp reminder from Maa Tara Traders: a polite note that invoice MT/2238 for ₹74,000 was due on 13 September, with a UPI payment link and the invoice attached.

  3. 3

    Replies are understood

“Paid”, “will pay on the 20th”, “there is a dispute on item 3”: each reply is read, recorded against the invoice, and the reminders adjust. A dispute reaches you at once.

Illustrative What the customer said, recorded.

A card for Howrah Builders: reply received, promised 20 October, reminders paused until then, next step set.

  4. 4

Who owes what, by age, on one screen

Total outstanding, days late, promises made, disputes open. The Monday-morning picture without the Sunday spreadsheet.

    Illustrative The ageing view.

Ageing buckets: not yet due, 1 to 30 days, 31 to 60 days, 61 to 90 days, over 90 days, with amounts and invoice counts.

What does money stuck outside cost you?

Your own estimate, from your own numbers. Move the sliders, or read the worked example.

About 4,603 of interest you carry for those late payments.

Your own estimate from your numbers: overdue amount × your yearly rate × days late ÷ 365. It ignores the salary deadlines and the sleep. Not a promise.

Questions

If I chase, will I lose the customer?

The first messages are the ones you would send yourself: polite, with the invoice, easy to pay. You decide the tone and when the reminders get firmer, and you can pause any party with one tap.

My relationships are personal. A machine will offend people.

You write the words with us, once, and you can exclude any customer. The system only makes sure the messages you would have sent go out on time.

We already see outstanding in Tally.

Tally shows the list. DueChase does the follow-up, reads the replies, and keeps the promises and disputes against each invoice.

My Tally is on one laptop in the shop. How does it get the data?

A small export runs on that laptop while it is on and sends the outstanding list once a day; or your accountant exports it. If the laptop is off, the last list stands and nothing is sent twice.

Can I see each message before it goes?

Yes. Approve every message, or only those to the parties you mark, or approve the wording once and let the rest run. Your choice, party by party.

We get cheques, cash and part payments.

Record them in your books as usual. The next import picks up the balance, and the reminders chase only what is still due. TDS deducted by the customer is shown against the invoice, not chased.

Which number does my customer see?

The number we set up for your business: your existing business number moved to the WhatsApp Business platform (it then works from the system, not the phone app), or a new number in your firm’s name. Your firm’s name is on every message. We talk it through on the call.

Can customers pay from the message?

Yes, by UPI, or by card and net banking through a payment link, if you use a payment provider. Or they pay the usual way and you mark it paid.

Does it work for customers outside India?

Yes, by email and WhatsApp, in their currency, with a payment link from your provider.

What does it cost?

Fixed quote after a free 30-minute call. No surprises. After the free call you get the price in writing on WhatsApp: setup, monthly, how long. You say yes or no.
