TradeDocs is a shipment-paperwork and landed-cost tool for small importers and exporters in India. Save your parties and products once; build a shipment; the commercial invoice and packing list are generated so that they match; HS codes are suggested for you to confirm with your customs broker; and a landed-cost estimate per unit shows what the goods really cost once freight, duty and clearing are in, before you pay the supplier. Built by VV Automate in Kolkata. Not customs or legal advice.

The container reached Haldia on Thursday. The broker says “query aaya hai”. Paperwork that matches, HS codes you confirm, and the landed cost before you order.

Most holds are not exotic: an invoice and a packing list that do not agree, a code copied from the supplier, a duty rate guessed. TradeDocs builds the documents from one set of saved data, so they match, and tells you what each unit will cost once duty and clearing are in.

Illustrative A commercial invoice built from saved parties and products.

A commercial invoice from Hooghly Exim, Kolkata, to a buyer, with three product lines, HS codes, quantities, unit prices and totals in USD, stamped SAMPLE.

Is this you?

  • The supplier’s invoice says 8541. The broker copies it. The officer reads the product and says 8536. Two days and ₹25,000 later, the goods move.
  • Packing list says 48 cartons, invoice says 50. The shipment waits while someone in Yiwu is asked to re-issue.
  • You priced the goods at 18% duty in your head. The bill of entry shows BCD plus surcharge plus IGST plus anti-dumping, and the margin is gone.
  • Second import, same product. Nobody saved what was filed the first time.

How it works

  1. 1

Save your parties and products once

Suppliers, buyers, consignees, your IEC and GSTIN; products with weights, carton sizes and prices. Checked as you type.

    Illustrative Products, saved once.

A product master table: jute bags, jute twine, jute cloth, each with HS code, net weight, package size and price.

  2. 2

    Build the shipment

Pick the parties, the Incoterm, the ports, the payment term and the products. Bales or cartons, net and gross weight and CBM are calculated for you.

Illustrative The shipment, with the packing worked out.

A shipment card: buyer, Incoterm FOB Kolkata, 3 lines, 40 bales, 63 cartons and 200 rolls, net weight 20,100 kg, gross weight 20,900 kg, 38.2 CBM, one 40-foot container.

  3. 3

Commercial invoice and packing list, generated to match

Standard A4 layouts your forwarder and broker recognise, with totals in figures and words, your IEC, GSTIN, AD code and bank details, the LUT endorsement and your declaration. PDF and Excel.

Illustrative The packing list, from the same data as the invoice.

A packing list from Hooghly Exim with bale and carton ranges, pieces per package, net and gross weight per line, matching the commercial invoice.

  4. 4

HS code suggestions you confirm with your broker

Up to three candidate codes with the reasons and the question that decides between them. You confirm one, and it is remembered. Not customs advice: your broker has the final word.

    Illustrative Three candidates, one question.

An HS code suggestion card for an electrical connector: candidates 8536.69, 8536.90 and 8541.xx, with the deciding question: is it a connector or a semiconductor device?

  5. 5

Landed cost per unit before you order

Enter freight, insurance, exchange rate and the duty rates you have verified: BCD, surcharge, IGST, anti-dumping if any. See the cost per unit and your margin.

Illustrative What each unit really costs.

A landed-cost table: supplier price, freight, insurance, BCD, surcharge, IGST, clearing, total per unit, margin at your selling price.

Questions

My CHA handles all this.

Keep your CHA. TradeDocs makes sure what reaches the CHA matches and is complete, and keeps your own record of what was filed. Most queries start before the broker, in the documents.

Software cannot know my HS code.

It does not decide. It shows the two or three plausible codes and the question that separates them, so you and your broker confirm the right one before filing, instead of after a query.

Is this customs or legal advice?

No. TradeDocs is a documentation and estimating tool. Classification and compliance decisions are yours and your broker’s.

I import twice a year.

Then two shipments a year with no query may already be worth it. Say so on the call and we will quote accordingly.

Which duties does the estimate include?

The ones you enter after verifying them: basic customs duty, the social welfare surcharge, IGST, anti-dumping or safeguard duty if applicable, plus your freight, insurance and clearing. It does not look rates up for you.

What does it cost?

Fixed quote after a free 30-minute call. No surprises. After the free call you get the price in writing on WhatsApp: setup, monthly, how long. You say yes or no.
